Personal Assistant

As a Barclays Personal Assistant, this is an exciting opportunity for you to be a part of the Cross Asset Sales team, providing comprehensive support to a team of senior and junior Markets members within the Distribution and Trading. For this role, you will be interacting with a diverse spectrum of colleagues internally and externally in a broad range of situations.

We are currently in the early stages of implementing a hybrid working environment, which means that many colleagues spend part of their working hours at home and part in the office, depending on the nature of the role they are in. Please discuss the detail of the working pattern options for the role with the hiring manager.

What will you be doing?
• Organising (with minimal supervision) client events and marketing roadshows, internal and external meetings which may involve influential contacts in Italy, France, UK and overseas
  • Liaising with internal/external contacts to agree dates, costs, set up, lunch/dinner menus
  • Booking travel and accommodation as well as itineraries following firms’ policies including Visas, foreign currency as needed
  • Dealing with the expenses process, record keeping, invoice & purchase order processing, supplier correspondence
  • Providing answers/resolving wide range of queries, channelling to the appropriate area if necessary
  • Being in charge of routine or special duties as appropriate
  • Handling external/internal correspondence verbally and in writing (Italian/English/French)
  • Managing booking of rooms/conference call/VCs for the team as required
What we’re looking for:
• Good education background
  • Relevant job experience as team assistant, ideally with a financial Institution/Investment Banking background
  • Ability to communicate effectively and fluently in English and Italian language required, both written and verbal, and French would be a nice add-on
  • Experience in working with MS Office suite, especially Microsoft Outlook, Word, Power Point, Teams and CRM software (Client database, roadshow planners)

  • Excellent planning and organisation skills, time management skills, and attention to detail
  • Exceptional communication skills, assertiveness and self confidence
  • Ability to work both independently and within a broader team structure
